  1. The monthly fee for floor looms, spinning wheels, and drum carders will be $30. The monthly fee for table looms, hand cards, inkle looms, warping boards, winders, and other miscellaneous equipment will be $15.
  2. Workshops are an important learning event for guild members and use of the guild’s equipment should be encouraged. One month’s rental fee for equipment will be waived when borrowing equipment specifically for a COWG workshop.
  3. The rental fee will not be required when guild equipment is used at a guild-sponsored demonstration.
  4. To encourage return and proper care of equipment, a refundable deposit of $100 will be required for any piece of equipment. A deposit will also be required when equipment is borrowed for use at COWG workshops. The deposit check will be returned to the borrower when the equipment is returned on time and in the same condition it was borrowed. The deposit check will be cashed when the equipment is not returned on the agreed date. If there is damage beyond normal wear and tear, the deposit may be applied toward the damages.
  5. The borrower will be responsible for damage that is determined to be in excess of normal wear and tear.
  6. The rental term is one month, with up to 2 monthly extensions, not to exceed a 3-month loan. If the borrower wishes to extend the loan, the equipment chair must be notified prior to the date the loan expires. The borrower must pay in advance for the additional month(s). Loan extensions will not be available if another member has requested use of the equipment.
  7. Normal wear and tear is expected on equipment that is transported and is used by many members. Rental fees will be earmarked to cover normal wear and tear on equipment.
  8. A 5-year strategy for equipment purchase and replacement will be developed. Rental fees will contribute to planned purchase and replacement of equipment.
  9. All equipment will be clearly marked as COWG equipment. Photographs will be maintained for each piece of equipment. The borrower and the equipment chairperson will inspect the equipment when an item is borrowed and returned in order to document the condition of the item. In addition, all equipment may be recalled once a year for annual inventory and inspection.
  10. Instructions will be created for each piece of equipment to describe its proper use and care.
  11. A co-signer will be required if the borrower has been a guild member for less than 6 months. The co-signer may be any member in good standing who has been a guild member for one year or more.
  12. Equipment borrowers will sign a written rental agreement. The agreement will:
    1. List specific item(s) borrowed, including accessories such as lease sticks, reed, bobbins, or doffers.
    2. Document the condition of the equipment.
    3. Define the dates of the monthly loan period as well as the final return date if the loan is extended to a 3-month loan.
    4. State borrower’s responsibility for equipment damage beyond normal wear and tear.
    5. Record deposit received.
    6. Record rental fee received.
    7. Contain signatures of borrower, equipment chair, and co-signer (if required).
    8. Clearly state that the deposit will be forfeited if the equipment is not returned on time to the equipment chairperson in the same condition it was borrowed
